Office of Career Services Secretary 1, SG-11 Full-Time, Contingent/Permanent Monday - Friday, 8:30 am to 4:30 pm Line #: 00258

Salary: $41,130

Eligible applicants must meet all of the minimum requirements listed below.

Position Summary:

The Career Services Secretary 1 is responsible for providing administrative support to the Office of Career Services.  This position is charged with increasing the effectiveness of program staff by coordinating the paper flow of the office and carrying out the day-to-day administrative support activities required to accomplish the work of the office.  

Major Responsibilities

Provides administrative support for office.

Establishes office procedures.

Designs office filing systems.

Implements policies and procedures.

Maintains efficient work flows.

Resolves day-to-day operational problems, responds to phone calls, and manage the mail collection and distribution for the office. l.

Organizes, expedites and follows up on projects.

Coordinates information flow by acting as liaison among staff, other employees and the public.

Maintains the Office budget, processes expense reimbursements for travel, programming and room reservations. 

Manages the calendar for the office. 

Provides administrative support for student employment.

Triage and assists as appropriate with incoming walk-in requests, phone calls, and email messages. Ensures that data collected is collected accurately.

Manages the front desk. 

Ensures that the work environment has a professional appearance.

Approves student business card requests.

Minimum Qualifications

Candidates must have permanent appointment in a Secretary 1 classified position, or be transfer eligible to a grade 11 Secretary 1 title, or be reachable for appointment on the current NY State Civil Service Secretary 1 list - full time – Brockport location.

Preferred Qualifications

Proficient with Microsoft Office Suite products (primarily Word and Excel)

Proficient with Outlook

Strong customer service skills

Strong attention to detail

Strong organizational skills

High School Diploma

Department Description

Career Services assists students in making the transition from college to career. We help students select a major, find an internship, and figure out how they fit in the world of work. We are also involved in applied learning on campus, including internships and student employment. There are seven staff members who provide support to students through 1:1 and group interactions. We also work to bring employers to campus for part-time, internship, and full-time employment positions.
