Updated Information Regarding Paid Voting Leave for State Elections

The guidelines for Paid Voting Leave for State elections have been amended. Please note the important changes in this article.

Under the New York State Election Law, all State employees of The College at Brockport, who have registered to vote, may take up to two hours of leave without charge to leave accruals, to vote in any New York State election.

Section 3-110 of the Election Law was amended to allow all employees of The College who are registered voters, and who do not have sufficient time to vote outside of their working hours, to take off up to two hours of leave without charge to accruals. Sufficient time to vote has been determined as - four consecutive hours either between the opening of the polls and the beginning of the employee’s work shift or between the end of their work shift and the closing of the polls. Additional time off beyond the two-hour non-chargeable leave for employees who are covered by the Attendance Rules should be charged to vacation, overtime compensatory time credits, or personal leave, as approved by their supervisor.

Time off to vote must be taken at the beginning or end of the work shift and will be determined by the supervisor, based on operating needs, unless otherwise mutually agreed upon.

If an employee requires time off to vote, they must notify their supervisor not less than two days, but not more than 10 days, before any election. There is no cap on the number of elections per year an employee may request time off to vote.

Time off to vote applies to general elections, special elections called by the Governor, primary elections, town, and village elections, but not to school or library elections.

This benefit does not apply to student employees.

Recording Time Off for Paid Voting Leave for Time and Attendance --

Classified Employees using the electronic Time and Attendance System (TAS):

• Sign in to the SUNY HR portal

• Click Time and Attendance in the Self Service menu

• Click Time and Attendance again

• Once you reach your time record, Click 'Request Time Off'

• Click on the appropriate day

• 'Time Off Request' pop-up window will appear

• Enter # of hours in 'Non-Chargeable'

• Select 'Paid Voting Leave' as the 'Non-Chargeable Type'

• Click 'Save and Submit'

Non-Classified Employees using the electronic Time and Attendance System (TAS):

• Sign in to the SUNY HR portal

• Click Time and Attendance in the Self Service menu

• Click Time and Attendance again

• Record the number of hours and date taken as 'Paid Leave for Voting' in the 'Additional Comments' section of the monthly time record

• 'Save' the time record

Employees completing paper timesheets:

Record the number of hours and date taken in the Remarks column and indicate "Paid Voting Leave"
